Objective

  • To capture bank transactions where source documents are generated manually outside the system from different channels

Introduction

  • There are different types of bank transactions from fund transfer, credit cards, cash, teller, cheques, etc relating to payments and receipts .
  • This bank transaction entry process is focusing on transactions where the source documents are generated out side the system and are to be manually posted into the system.
  • Normally, the bank payment process is managed by the Bill Payment Engine in treasury module where the payment source documents are generated within the systems and are driven by a defined workflow approvals from different payment sources .
  • For inflows, the e-collection functionality ensures seamless integration with the bank’s ERP and thereby, will not require manual entry of bank’s receipts as Cittaerp is updated seamlessly without manual intervention .

Process

  1. Go to Treasury Management Center >>Transactions>>Bank Transaction Screen.
  2. Open the Bank Transaction listing screen appear and clic the (+ ) button
  3. The Bank transaction screen appears as shown below
  4. Completes relevant fields of the header section

Transaction Header

  1. From Batch information Tab, select the transaction bank from the Bank ID field
  2. You have option of searching for the bank by typing in the search box the three relevant characters or typing *** in order to display all banks
  3. Completes other relevant fields in the the batch information tab as well as the dimension tab
  4. Click Create batch button
  5. The detail section screen appears as shown below

Transaction Detail

  1. The detail section is expected to enter the contra entries to the selected bank ID at the header section
  2. Select the relevant transaction type.
    • Transaction types are user defined for different purposes and once defined, can also be selected for relevant transaction
  3. Select Posting Class.
    • Posting class relates to the different modules or sub module within a module in the system
    • This will be the posting class from which the posting code or ID for the transaction will be selected .
    • For example, posting class for real estate module can be Property Contracts while the posting code is the particular Contract ID for the client
  4. Select Posting Code
    • Select the relevant posting code as described above
  5. Complete other relevant fields
  6. Click Create Entry button
  7. System list the entry under the entry list box at the bottom
  8. Click Submit for Processing
  9. The transaction follows the defined approval route of the company
  10. At final approval
    1. System automatically updates the relevant accounts and sends notifications as defined .
